MINUTES OF MEETING OF January 6, 2010

 

The Academic Technology Committee was called to order on January 6, 2010 at 4:01 PM.

Computer Security Issues

The Faculty Senate has discussed concerns about the frequency of password changes required for the universal login, and the difference between this password and the 6-digit PIN required for login to Web4U.  John Lawson commented that our requirement to change the universal ID passwords every one hundred and twenty days is based on the State’s Information Services Board standard for password expiration for our type of data and access control.

 

The PIN is an artifact of accessing the Web4U applications of Banner directly rather than through our “Central Authentication Service” (CAS).  Because Alumni and others who no longer have a universal ID may still need information available on Web4U, we maintain direct access to Web4U.  The only way for people without a universal ID to access Web4U is to enter their ‘W’ number and their PIN.

 

The recommended and preferred method to access Web4U applications is through “my Western” which uses CAS.  This method eliminates the need to enter the PIN to access Web4U applications.  The myWestern  link on the home page may be used both on and off campus to access many campus services including Web4U, Blackboard, Web forms, Outlook Web and others.

 

Lawson agreed to provide a rationale for the frequency of password changes, as a response to concerns in the Faculty Senate.

 

            Banner

There were concerns about the timing of the upgrade Banner, which is scheduled during the period that academic departments are inputting their course schedule for 2010-2011, and whether it could be rescheduled at a time of less activity.  John Lawson will investigate the situation.

 

            Graduate School Thesis

The Graduate School is now requiring that students produce their Thesis in PDF format, instead of printed copies. Students are having difficulties with this process and there does not seem to be adequate help. Rob Galbraith clarified that Adobe Acrobat Pro is the software that they need to use and that it is available in most university labs, and the Student Technology Center is able to provide assistance.

 

            Course Fee Committee

In the future it would be nice to establish a consistent philosophy as to which technology is covered by class fees, and which is covered by STF.

 

Discussion:

            The use of STF funds for laboratory upgrades

Lawson and Galbraith presented an STF draft funding model for a 4-year replacement cycle of laboratory computers. The model fits within the expected budget, but has considerable variation from year to year.  The model appears practical provided unspent funds can be carried over from years with lower expenditure to those with higher expenditure.  Lawson talked about the possibility of negotiating with departments which collect lab fees, and are thereby excluded from this funding model, to see if they could be included after lowering or eliminating their lab fees.
