MINUTES OF MEETING OF October 21, 2009

 

The Academic Technology Committee was called to order on October 21, 2009 at 4:04 PM.

 

Approval of the Minutes:

The minutes of October 7, 2009 were approved with no amendments.  There were 14 people present.

 

Appointment of ATC Deputy Chair:

Steve Ross nominated Gary Bornzin, seconded by Bob Thomas. Bornzin was appointed Deputy Chair.

John Lawson opened the discussion with the security audit. There are four weeks until it is complete. The review is looking at IT governance and whether or not the University should invest in the Chief Information Security Officer position.  The ATC will receive a copy of the final report when it is complete and released by the Office of Internal Audit.

 

Lawson also followed up on the topic of working with other schools when making technology purchases. The six state universities and the State Board of Technical and Community Colleges have formed the Washington Higher Education Technology Consortium (WHETC). Among the WHETC goals are increased collaboration and purchasing among the state institutions. For example, Western is working with WSU and EWU to increase the volume of network switch purchases in order to get better pricing.

 

The decision of who will be the new Technical Services Manager has been made, but could not be announced at the meeting.

 

eLearning and Collaboration Software

Western, WSU, EWU, and CWU are currently working with the Technical and Community Colleges to purchase and implement the product ElluminateElluminate includes web conferencing, teleconferencing, videoconferencing, and social networking services. Faculty may find it useful to record lectures, this would allow students to access information they may have missed if they were out of class due to illness; students only have to have a broadband connection in order to access these services. Faculty, staff and students could also use the product for ad-hoc video meetings.

 

Constituent Concerns:

Department email services:  A change in the way mail filtering was done caused some departmental mail servers to be unable to communicate with the University Exchange server.  John Lawson explained the reasons for this and discussed several alternative solutions. After some discussion of the alternative solutions, the chair suggested a meeting of the main interested parties, outside of the ATC, to attempt a resolution of the issue.

 

Lawson also discussed that WHETC will be exploring the option of outsourcing email for faculty and staff.  Advantages with outsourcing would be that we don’t have to run it, it can be used internally and externally, and there will be more storage space. The University of Washington will be hosting a WHETC meeting December 16 for vendor presentations. Lawson will report back to the ATC.

 

Security Audit: Bob Thomas had concerns about the consequences of the security audit when staff members appeared to receive thousands of spam emails. There were also concerns about the survey; it was thought that the questions were unclear and there was speculation of why anyone would need to use the information that was asked.  Thomas asked that in the future the staff be warned ahead of time what side affects they should expect.
