MINUTES OF MEETING OF November 18, 2009

 

The Academic Technology Committee was called to order on November 18, 2009 at 4:00pm.

 

Approval of the Minutes:

The minutes of October 21, 2009 were approved as revised.

The minutes of November 4, 2009 were approved with one amendment.

Linc Nesheim stated that the VPN connectivity is being moved to a different connection. It is at the end of testing and should be available within weeks, with instructions available online. It will support secure connection to campus from computers with a 64-bit operating system.

 

John Lawson reported on two documents: WWU IT Services, Strengths, Challenges, Opportunities, and Threats and Information Technology Services; both set to be discussed at a future meeting after everyone has had a chance to read them.

 

VoiceOver IP

There was some discussion on the merits of moving toward VOIP.  In response to questions about the vulnerability of VOIP to power failure, Linc Nesheim explained that the new switches have quality of service components and uninterruptible power supplies.  The physical data network rarely fails. All phones could potentially be swapped out in a changeover to VOIP.  This would be very expensive but would pay for itself in the long run. Depending on the phone a person requires it could be plugged into the usb port and the phone is on the computer, with the use of microphone and speakers, or a wifi handset.

 

Constituent Concerns

Power Outage

There were concerns about the quality of the voicemail sent out on Monday due to the power outage.  The message was sent in error by University Communications over the phone system; the message was meant to be a mass text message rather than “text-to-voice” phone message.

 

There were also problems with a mass email directing recipients to click a link that was nonexistent. John Lawson checked with the Communications office and found that it was an error.

 

The warning alarm (Big Ole) was a constant sound rather than varying tones which made it hard to distinguish as an emergency signal.

 

Discussion

       The Use of STF funds for laboratory upgrades:

John Lawson clarified what would not be eligible for upgrade with STF funds: machines dedicated to control and instrument, machines funded by departmental lab or class fees, and any lab with fewer than six computers.  Removal or reduction of lab or class fees could enable otherwise excluded department labs to become eligible for STF upgrade funding.

 

The aim is to use STF funds for updates of labs , including department labs, on a four year cycle, depending on the cost of computers. 

 

Other equipment such as projectors, printers, software, are not included but could be part of a separate STF proposal.  ITS will reconsider this issue once the costs associated with the renewal plan are identified.
