Working with Microsoft Office 2007

WWU's ATUS labs are beginning to convert to Microsoft Office 2007. As such the SAL labs have likewise made this switch. (Note that some ATUS labs have both Office 2007 and Office 2003 installed).

 

For those of you with Office 2003 files (Word .doc files, Excel .xls files, etc.) you should be able to open these in Office 2007 without issue. However, if you save them (in Office 2007) you may have difficulties opening them in an older version (e.g. Office 2003).

 

Likewise, if you are sending a file to someone else, they may not be able to open an Office 2007 file. The safest option is to save the file as an earlier version of Office (see notes below), and send that.

 

There are 3 possible options for dealing with this issue (detailed below):

    1) Install Office 2007 on all computers that need to share files

    2) Install the Office 2007 Converters package for the Office 2003 installation(s)

    3) Use Save As 97-2003 to save your files in the older format

 

 

1) Installing Office 2007

    Faculty interested in installing Office 2007 should talk with their IT staff (for Huxley, contact Dave Knutson).

 

2) Installing Office 2007 Converter Package

    The Office 2007 Converter Package is an add-on to Office 2003 that enables Office 2003 to open Office 2007 files. The installation files can be downloaded from Microsoft.

Huxley faculty and staff can access these files (already downloaded from Microsoft) from:

        P:\Huxley\Office2007Converters

 

3) Using Save As to Save files in an Older Format

    Individuals who need to be able to open their files on an older version of Office can use the Save As option to create an older version file. To do this in Office 2007:

    Click on the Office Button (upper left corner of screen)

    Choose Save As

    Choose Word 97-2003 Document

        (Or Excel 97-2003 Workbook, or PowerPoint 97-2003 Presentation, etc.)

    The resulting files should open fine with older versions of Office

    

Note that you can set your Office 2007 application to Save in the older Office 2003 format by default:

    Click on the Office Button (upper left corner of screen)

    Click the Word Options (or Excel Options) button at the bottom of the menu

    Click Save (from the left hand side of the Options dialog box)

    For Save files in this format: choose Word 97-2003 Document

        (Or Excel 97-2003 Workbook, or PowerPoint 97-2003 Presentation, etc.)

    Any files saved should now be saved in the older format

    The resulting files should open fine with older versions of Office

 

 

 

OFFICE 2007 NOTES & CHANGES

 

A few changes we've discovered (so far) that may be of relevance...

 

Excel 2007 no longer has the option to Save a file as a .dbf format. This has implications for ArcGIS users who may have used .dbf files as a means of getting data from Excel to ArcGIS. The .csv file format is still available (see Getting Excel Data into ArcGIS).

 

Some programs (such as Mathcad) that would accept an Office 2003 file formats (.xls for example) do not work with the new Office 2007 (.xlsx) file format...

 

Similarly, ArcGIS 9.2 (which will read an .xls file) will not read an .xlsx file...
